Grounds Hire
Terms & Conditions
Arrival:

Entry is through 42 Murray Street, from South Western Highway.

The entry gate must be kept closed at all times that horses are on the property.
Arena Raking:
-
Raking of arenas is completed before and after an event, any additional raking during the event is to be organised with MEA at least two weeks prior to the event at a charge.
Camping:
-
Non-powered camping bookings are to be done ahead of time.

Campers must remain in the designated area.
Booking Fee and Bond:
-

Cancellations:
-
All cancellations by the hiring club will incur a 50% booking fee charge. All bookings that are cancelled less than 21 days prior to the event forfeit the entire booking fee as a deposit.

MEA reserves the right to cancel an event without notice.
Damage:
-
Any damage of property cause by the hiring club, the participants or vendors will be taken out of the bond. Any additional cost above the bond will be charged to the hiring club.
Cleaning:
-
Toilets, club rooms and offices will be clean on your arrival and cleaned post event. These areas are only available if indicated and paid for before the event. Excessive mess which requires additional cleaning will result in the loss of the bond and any additional cost above the bond be charged to the hiring club.

Cleaning of amenities during event is the responsibility of the hiring club.
Departure:

Before departing ensure all manure and hay is removed and put into the pits.

All lights and air-conditioners are turned off; all windows are closed and all doors locked.

Keys should be left in the designated location (will be sent prior to event).
-
Ensure the gate is locked when departing if last person leaving.
Public Liability:
-
All Hirers must provide a current Insurance Certificate of Currency
Smoking:
-
West Australian law states that smoking is banned within 10 meters of outdoor sporting venues during underage sporting events. Clubs that are hosting underage events must comply with the state law.
Trade Vendors:
-
It is the responsibility of the hiring club to obtain a vendors Certificate of Currency for Public Liability Insurance (minimum cover is the $10,000,000).

There are limited power outlets available.
-
Any necessary cleaning due to vendors will be charged to the organising club.
-
Any damage of property cause by vendors will be charged to the hiring club.
Wash Bays:
-
Wash bay to be kept clean at all times.
-
Manure must not be left on or around the wash bay, it is to be deposited in manure pits.
Water:
-
It is recommended that people bring their own personal drinking water. Untreated bore water only is available at the ground.

Water outlets for horses are located at the wash bay.
Yards:
-
No straw or shavings are to be used in the day yards.

All Horse Yards must be left clean. Users must deposit their horse manure in manure pits or take their manure home.

Horse manure must not be put in rubbish bins. Please reinforce this to your participants.
Prior to the Hire Period -
The Hirer Must:
-
Booking fee must be paid in full upon booking, an invoice with all other charges including the bond will be sent when ground availability is confirmed.
-
Booking is not complete until the invoice for any applicable amenities, services and facilities is paid.

Failure to pay will result in hire cancellation.
-
All bookings that are cancelled forfeit the entire booking fee.
-
In the event of the desired date being unavailable, the booking fee will be refunded.
During the Hire Period -
The Hirer Must:
-
Ensure all persons entering the site treat the facilities with due respect.
-
Ensure participants do not enter areas of the property other than those designated.
-
Ensure participants do not interfere with other events taking place at Murray Regional Equestrian Centre.
-
Not allow any material to be attached to exterior / interior of buildings with any product other than Blue Tack.
-
Leave grounds and structures in the same condition as found.
-
If conditions are not adhered to, part or all bond monies may be forfeited. If the bond does not cover all damage repair or cleaning to grounds or structures, further action may be taken to recover costs incurred.

The Murray Equestrian Association Inc. reserves the right to amend the terms and conditions if deemed necessary prior to the event. Notification will be given as soon as possible following any amendment.

All areas must be clear of manure and rubbish at the end of the event.
Emergency and Any Maintenance Requests During the Hire Period -
The Hirer Must:
-
Report any falls/injuries/incidents immediately to MEA. Take contact details of those involved/observing and complete an incident report form.
-
Report any issues, maintenance requests or hazards immediately to MEA secretary.
-
Any works resulting tradesman call-out fees or products to repair underground pipework and site damages as a result of event damage will be charged to the hirer.
-
No plumbing, electrical or other repair, maintenance or alteration by the site hirer or their own tradesman is permitted without authorisation.
-
Requests for outside trades such as an electrician or plumber must go through MEA, not directly to a tradesman or costs may be incurred by the hirer.
After the Hire Period -
The Hirer Must:
-
Pay final fees within 14 days of receiving the final invoice.
-
A ground fee of $10 per horse per day must be paid within 14 days of the event.
MEA reserve the right to conduct / run multiple events at any given time.
MEA reserves the right to cancel an event without notice.
